VBlank Software Ltd (company number 17007691) provides 3D scanning, hosting and interactive viewing services. In this policy, “VBlank”, “we”, “us” and “our” refer to VBlank Software Ltd.

Information we collect

We may collect information that you provide when you contact us, request or book a scan, become a customer, or otherwise use our services. This may include your name, business name, email address, telephone number, property details, appointment details, correspondence and information needed to provide and bill for our services.

When you visit our website, we and our service providers may collect technical and usage information such as your IP address, device and browser information, pages viewed, interactions, approximate location and advertising identifiers. We currently use services including Meta Pixel, Google Ads and Calendly.

When we scan a physical space, we create and process photographs, video, spatial information, 3D point-cloud data and related files. A scan may incidentally capture people, personal belongings, signs or other identifying details present at the location. Customers should ensure that a space is appropriately prepared and that anyone present has been informed before scanning begins.

How and why we use information

We use information to respond to enquiries, arrange and carry out scans, create and host interactive viewings, manage subscriptions and customer relationships, process payments, provide support, improve and secure our services, measure website and advertising performance, and promote VBlank’s services.

Depending on the circumstances, we process personal information because it is necessary to take steps at your request or perform a contract with you; because we have a legitimate interest in operating, securing and promoting our business; because we need to comply with a legal obligation; or because you have given consent. Where we rely on consent, you may withdraw it at any time.

Advertising, analytics and cookies

Our website uses advertising and measurement technologies provided by Meta and Google. These providers may use cookies or similar technologies to understand visits and interactions, measure campaign performance, create audiences and show more relevant advertising. Their use of information is also governed by their own privacy policies and settings.

You can limit cookies through your browser settings and manage advertising preferences through the relevant provider. Blocking some technologies may affect how parts of the website work.

3D scan data and retention

We retain the 3D point-cloud data and related source files for a customer’s scanned physical space while that customer remains a paying VBlank subscriber, so that we can host, maintain and support the interactive viewing service.

When the paid subscription ends, we will retain that scan data for up to three months to allow time for reactivation, transfer or another agreed arrangement. At the end of that period, we will securely delete it unless the customer has explicitly asked us to retain it for longer and we have agreed to do so, or we are legally required to keep it.

A customer may ask us to delete its scan data sooner. We will action the request as soon as reasonably practicable, subject to any legal requirement that prevents immediate deletion. Deletion will permanently disable the associated interactive viewing and may not be reversible.

Other personal and business records are kept only for as long as needed for the purposes described in this policy, including to provide services, resolve disputes and meet tax, accounting and legal obligations. Retention periods vary according to the type of record and the reason we hold it.

Who we share information with

We may share information with trusted suppliers that help us operate our business and services, such as hosting, cloud storage, scheduling, communications, payment, analytics, advertising and professional-adviser providers. We may also disclose information where required by law, to protect our rights or the safety of others, or in connection with a sale or reorganisation of our business.

We do not sell your 3D scan data. Where suppliers process personal information for us, we require them to use it only for the relevant service and to protect it appropriately.

International transfers and security

Some suppliers may process information outside the United Kingdom. Where required, we use recognised safeguards for international transfers, such as adequacy regulations or approved contractual protections.

We use appropriate technical and organisational measures designed to protect information against unauthorised access, loss, misuse or alteration. No internet or storage system can, however, be guaranteed to be completely secure.

Your rights

Depending on the circumstances, UK data-protection law may give you rights to ask for access to your personal information; correction or deletion; restriction of processing; transfer of information; or to object to how we use it. You may also withdraw consent where processing is based on consent.

You have the right to object to processing based on our legitimate interests, including direct marketing. To exercise a right, contact contact@vblank.co.uk. We may need to verify your identity before responding.

If you are unhappy with our response, you can complain to the UK Information Commissioner’s Office through ico.org.uk.
